Keep one reference alive from booking to ledger

A booking generates a chain of references — an order, a ticket, one or more service documents, a payment authorisation, a settlement reference, a supplier invoice, a commission line. If any link in that chain breaks, finance falls back to manual exception handling, and that is where most travel back offices lose their time. Aurum builds and learns the reference relationships once, so the connection survives every stage instead of being rebuilt in a spreadsheet each month.

Reconcile the commercial event, the money and the delivery

Two-way matching tells you a payment arrived. It does not tell you whether the booking created the right receivable or payable, whether the money moved through the right rail, or whether the service was actually delivered. Aurum reconciles all three together, so a booking is only financially closed when the commercial record, the cash and the delivery agree.

Carry amendments through, not just the original booking

The operated trip is rarely the trip that was sold. Extra rooms, no-shows, changed transfers, cancelled excursions, extra rental days and services added on the ground all move the number after the booking was made. Aurum ties every amendment back to the original reference and reconciles the final position, so a file closes on what happened rather than what was quoted.

The workflow changes materially by segment. Each one needs a different durable reference, and the hard part is different in each.

What they reconcile

Direct sales — order, ticket and service document data against payment authorisation, capture, acquirer settlement, bank receipt and the general ledger. Indirect sales — GDS and NDC sales against settlement plan reporting, including the form of payment the agent used, with refunds, agency debit memos and agency credit memos carried through the back office. Ancillaries such as seats, bags and upgrades against the amount collected and the service actually delivered.

The hard part

The number of commercial and accounting references, not the payment itself. A single booking can involve an order, a ticket and several service documents, and where an agent pays with its own commercial card or virtual card — permitted only with the airline's explicit consent — the airline still has to tie that card transaction and its settlement back to the ticket, the service document and the agency sale. IATA's ONE Order programme aims to collapse those separate records into a single Order and remove reconciliation exercises created by multiple references, but both models will run alongside each other for years.

What they reconcile

It depends entirely on the commercial model, and most OTAs run both. Under the merchant or merchant-of-record model, the traveller pay-in is matched to the booking and to acquirer settlement, the supplier payable is matched to the same booking whether it is paid by virtual card, bank transfer or another rail, and finance then proves the full economics: gross collected, supplier cost, payment fees, FX, commission or mark-up, refund and cancellation effects, final margin. Under the agency model the supplier charges the traveller directly, so there is no payout to reconcile — instead completed bookings are reconciled to expected commission, then supplier statements and cash receipts to that commission receivable.

Running two reconciliations that look nothing alike over the same booking base, and keeping the booking reference attached to a virtual card number, a supplier invoice and a commission line at the same time.

The trip file. Amounts due from overseas agents, tour operators and clients on one side; commitments to hotels, transport companies, guides, restaurants and experience providers on the other. Customer deposits and balances, supplier invoices against contracted rates and voucher references, supplier payments, commissions and mark-ups, FX movements, cancellations and credits.

The post-trip true-up. The operated trip differs from the quote — extra rooms, no-shows, changed transfers, cancelled excursions, services added on the ground — so a file is only financially closed once those changes, supplier credits, FX and the final margin have been reconciled. Usually done by hand, usually late, and usually on a small team.

What they reconcile

Two distinct revenue environments. The cruise booking runs from deposit through balance due before the voyage, including cancellations, refunds, pre-purchased onboard services and receivables from both card merchants and travel agents. The onboard account is separate: the folio accumulates drinks, dining, excursions, retail and other spend during the sailing, and then has to match the final payment capture and merchant settlement. Travel agent commissions and voyage-level adjustments sit across both.

The hard part

The gap between booking and sailing. Cash is collected long before the service is delivered, so deferred revenue and future service delivery matter more here than in any other travel segment, and a pre-purchase has to stay attached to the guest and the voyage until it is delivered.

The reservation against what actually happened. Reservation, rental agreement, card pre-authorisation or deposit, final invoice, payment capture, processor settlement and bank receipt — with the final amount moved by fuel or charging, extra days, tolls, fines, damage, cleaning, additional drivers and other optional services. A second layer reconciles agent and partner commissions and corporate customers invoiced on credit terms against accounts receivable.

The hard part

The rental stays financially open after the vehicle is returned. An authorisation hold is placed at pickup and the unused portion released at return, but tolls, fines and damage charges arrive later, so the agreement cannot be closed when the keys come back.

T+1 halves the time you have to get it right

On 11 October 2027 the UK, EU and Switzerland move from T+2 to T+1, following North America in May 2024. Allocation, confirmation, funding, FX and reconciliation all have to complete inside a single business day, so an overnight reconciliation reviewed the following morning now happens after the settlement deadline rather than before it. Aurum reconciles intraday as custodian and broker data arrives, which is the difference between preventing a fail and reporting one.

The client assets regime keeps widening

CASS 15 brought payments and e-money firms into a safeguarding regime with mandatory annual audit in May 2026, and CASS 16 and 17 bring stablecoin issuers and cryptoasset custodians in from 25 October 2027. Firms holding fiat alongside cryptoassets fall under CASS 7 as well, which widens the obligation more than most expect. Building the control once, on a platform that already covers the chapters in force, is cheaper than building it per regime.
