A journal entry is the record of a financial transaction in the accounting system, showing which accounts are affected and by how much. Every entry uses double-entry bookkeeping, so the total debited always equals the total credited. Entries originate in three ways: from routine transactions such as sales and payments, from adjustments at period end such as accruals and deferrals, and from corrections. The journal is the first place a transaction is recorded before it posts to the general ledger, which is why accuracy is so important.
A deferral journal entry is used when cash moves before the revenue is earned or the expense is incurred. It is the opposite of an accrual, where recognition comes before cash. There are two forms. Deferred revenue arises when a customer pays in advance, so the receipt is held as a liability and released to revenue as the service is delivered. A prepaid expense arises when the business pays in advance, so the payment is held as an asset and charged to profit and loss over the period it covers. Both are adjusted at each period end to move the portion now earned or incurred.
A journal entry contains five elements. The date of the transaction. The accounts affected, identified by name or nominal code. The debit amount, conventionally listed first. The credit amount, listed beneath and indented. And a description, sometimes called the narration, explaining what the entry records. Many systems add a sixth element, a reference number linking the entry to its supporting documentation. That reference is what makes an entry auditable, since it connects the posting back to the source transaction.
Both. Every journal entry contains at least one debit and at least one credit, and the totals must be equal. A single transaction can involve more than two accounts, which is called a compound entry, but the balance still holds. Whether a specific account is debited or credited depends on its type. Debits increase assets and expenses and decrease liabilities, equity and income. Credits do the reverse. An entry that does not balance is not a valid journal entry, which is why validation before posting matters.
