General ledger reconciliation is one of the most important processes in finance, and one of the most time-consuming. For teams still running it manually, it consumes hours every close cycle and introduces the kind of errors that compound quietly until they appear in an audit finding or a restatement. What is general ledger reconciliation?

The general ledger (GL) is the central record of every financial transaction in an organisation. Every invoice posted, every payment received, every journal entry made, all of it flows through the GL. General ledger reconciliation is the process of verifying that those records are accurate by comparing GL balances against supporting documentation: bank statements, sub-ledger totals, invoices, and other source data.

Where discrepancies exist between what the GL shows and what the source documents confirm, the reconciliation process identifies them, investigates their cause, and resolves them through correcting entries or adjustments. The result is a GL that accurately reflects the organisation’s financial position, and financial statements that can be relied upon by management, auditors, and regulators.

Reconciliation for accounting teams is a foundational control, not an optional quality check. Under GAAP and IFRS, financial statements must be accurate and supported by evidence. Under Sarbanes-Oxley (SOX), public companies are required to reconcile accounts in a timely manner and maintain records that demonstrate the integrity of their internal controls. Failure to do so exposes the business to audit findings, restatements, and regulatory penalties.

What is general ledger reconciliation used for?

Financial accuracy. The most basic purpose of GL reconciliation is ensuring that what the books show is what actually happened. Without regular reconciliation, errors accumulate (transposed numbers, missed entries, duplicate postings) and the GL drifts from reality.

Financial reporting. Every financial statement (balance sheet, income statement, cash flow statement) is built from GL data. Reconciled GL accounts mean that reports produced at period end reflect actual transactions rather than a mix of actuals and unresolved discrepancies.

Compliance and audit readiness. Regulators and auditors require evidence that financial records are accurate and that controls are operating effectively. A reconciled GL with a complete audit trail, including documented investigations and approvals, satisfies this requirement.

Fraud detection. Regular reconciliation catches unauthorised transactions, duplicate payments, and unusual patterns before they compound. The earlier a discrepancy is identified, the lower the cost of investigating and resolving it.

Decision-making. Leadership making capital allocation, forecasting, and budgeting decisions depends on accurate financial data. If the GL has not been reconciled, those decisions are based on numbers that may not reflect the organisation’s actual position.

General ledger reconciliation process

Step 1: identify accounts for reconciliation

Determine which accounts need to be reconciled and at what frequency. High-risk, high-volume accounts (cash, accounts receivable, accounts payable, and revenue) should be reconciled monthly at a minimum. Lower-risk accounts, such as fixed assets or prepaid expenses, may be reconciled quarterly or annually.

Step 2: gather supporting documentation

Collect the source data that will be compared against the GL: bank statements, sub-ledger reports, invoices, remittance advice, and any other relevant records. Completeness of documentation matters; missing source data creates gaps in the reconciliation.

Step 3: compare GL balances to source data

Match the balances in each GL account against the corresponding source documents. Identify any items in the GL that do not appear in the source data, and any items in the source data that have not been recorded in the GL.

Step 4: investigate discrepancies

For each discrepancy identified, determine its cause. Common causes include timing differences, data entry errors, duplicate postings, missing journal entries, and system integration failures. Not all discrepancies indicate errors, timing differences are expected and must be documented rather than forced into agreement.

Step 5: make correcting entries

Where genuine errors are identified, post the correcting journal entries required to bring the GL into agreement with the source data. Each correction should be documented with a reference to the original discrepancy and the evidence supporting the adjustment.

Step 6: document and obtain approval

Record the reconciliation outcome, including any discrepancies found, their causes, and the correcting entries posted. The reconciliation should be reviewed and approved by an independent party to maintain segregation of duties. This documentation forms the audit trail required for compliance purposes.

Step 7: monitor and repeat

Reconciliation is not a one-time exercise. Establish a regular cadence, review exception trends over time, and use patterns in recurring discrepancies to identify root causes in upstream systems that are generating the errors in the first place.

Example of general ledger reconciliation

A UK payments business processes thousands of transactions daily across multiple banking partners and payment service providers. At month-end, the finance team reconciles the cash account in the GL against bank statements from three separate banks.

The GL shows a closing cash balance of £4,823,400. The combined bank statement total is £4,801,250,  a difference of £22,150.

The team investigates and identifies two causes: a £15,000 payment issued on the last day of the month that has not yet cleared (a timing difference), and a £7,150 duplicate payment posting caused by a system integration error between the payment platform and the ERP.

The timing difference is documented as a reconciling item. The duplicate posting is reversed with a correcting journal entry, documented with reference to the original transaction. The reconciliation is approved by the Financial Controller and filed with the period-end documentation. The balance sheet published at month-end now reflects a cash balance that can be traced directly to source data.
