The Challenge
With the online gambling market projected to reach US$510.19 billion in revenue by 2029, rapid scale across payment routes and transaction volumes is placing increasing importance on strong financial control. Our client, a fast growing, online casino operating across multiple markets, was looking for a way to improve their processes to support growth and compliance, while maintaining a seamless customer experience.
At a time of growth, the casino's finance team needed visibility across their payment data more than ever.
Key drivers for automation included:
- Accuracy and timeliness - As transaction volumes increased and additional PSPs were introduced, the reconciliation process needed to scale to continue delivering accurate outcomes within existing reporting timelines.
- End-to-end payment visibility - Gaining a consolidated view of failed, returned, and uncredited transactions across systems would be increasingly important to support investigation and prevent delays for customers.
- PSP fee insight - As the number of providers grew, clearer visibility of fee structures and charges would support stronger cost understanding and ensure informed decision making.
Automation offered a way to strengthen control and visibility while supporting continued growth.
The Solution
The client required a reconciliation platform designed for complex payment environments.
Key priorities included:
- Three-way matching - Automated matching between PaymentIQ (payment gateway), PSP data, and back-office records.
- Accounting journal preparation - Automated journal creation ready for loading onto their accounting system, Xero
- Full fee visibility - Automated comparison between reported PSP and payment gateway fee statements and agreed rates to highlight discrepancies in charges.
Having used Aurum previously, the Finance Director selected the platform based on its flexibility and proven ability to support growing finance teams. This was reaffirmed by the Head of Treasury, who commented on the ease of implementation and onboarding:
We never received a no from the sales or implementation team. The process was clear from start to finish, and the software was straightforward to adopt.

Working closely with the Aurum team, the platform was configured to align with the client’s payment structure and reporting requirements. Implementation focused on delivering value quickly while minimising disruption.
We have had an open line of communication with the implementation team via Slack from day one. There’s been amazing support throughout.

The Results
- Time spent on month-end close reduced by 50% - Automation reduced the client’s PSP reconciliations from three days to one and a half. As a result, the finance team have reclaimed time spent previously on manual reconciliation and cash management and are now able to allocate it elsewhere.
- Improved transaction visibility and customer satisfaction - Uncredited deposits and withdrawals are now flagged proactively. The team resolves issues faster, reducing customer wait times and improving satisfaction.
- Flagged several potential overages in PSP charges - The team gained full visibility of PSP and gateway fees, allowing them to identify recurring or unusual discrepancies.
Just 6 months post implementation, Aurum flagged an unusual fee from one of the online casino’s PSPs, protecting them from a significant excess charge.

The Future
With automated controls and full payment visibility in place, the finance team can now support the business’ growth with confidence, maintaining accuracy, speed, and customer trust. With clearer fee information, the team are now looking to reallocate time previously spent on manual reconciliation to analysis. This will allow them to make better PSP selection decisions, reducing unnecessary costs and rectifying any major or recurring issues.
